WorkSpaces is a web based project management, document management and decision making system. The system was developed with the objective of providing the project team with an advanced tool for management, control and knowledge sharing throughout the life cycle of the project, from the design stage, through execution and up to and including the completion stage.

About the application

The system shortens communications and control processes using a simple and intuitive interface. The various participants in the project receive real time updates regarding the tasks to be carried out and decisions taken regarding the project. The file management mechanism enables information sharing amongst geographically remote teams or across different time zones, with full control of data flow. The system enables full multi-project management and expands the capability of the project manager to control the execution processes and identify weak points before these become problems in the project.

WorkSpaces System enables the dynamic creation of metadata, which expands the data items stored in the project as required and without the need for further development. This flexibility enables the project manager to instantaneously add reams of data, in line with the unique needs of each project.

The project tree

The dynamic structure of the project tree enables the allocation of user authorizations at a level of sub projects and directories, so that each user or vendor obtains access only to data needed for business purposes. The system is based on a standard web browser and does not require special installation. This flexibility enables any authorized user to login using a user name and password from any location at any time.

WorkPlane enables the project manager or system manager to create a hierarchal structure of sub projects and directories suiting the unique structure of the project. A unique list of user authorizations is defined for each branch of the tree (sub project or directory) in such a manner that only those requiring data from that same directory can access it and either view or update the data.

Manage tasks and activities

A fast interface enables the project manager to allocate tasks to workers and vendors in the project. The allocation of tasks will be carried out from a dedicated tasks directory for the project, or directly from the discussion interface. The execution percentage calculation mechanism allows tracking and control of the project progress.

Information Sharing
Alerts and Notifications

The systems allows the dispatch of SMS or email alerts to a predefined list of participants in each directory. In this manner, all the project participants can be informed of changes carried out to records in the directory. In this manner, the project manager can verify that all the office position holders have been updated and are operating based on the most up to date data also when they are outside of the system. In addition, the alerts system dispatches notifications regarding new tasks to be carried out as well as tasks near conclusion that have not been completed.

Discussions & Decision Control

The discussion control system enables documentation of decisions and allocation of tasks to discussion participants. The project manager can automatically or manually distribute the minutes of the meeting to a list of meeting participants or to a list of addressees. Furthermore, the discussion tasks are automatically distributed to office position holders in the project.

Data Management & Control

A dedicated mechanism for the tagging and retrieval of documents enables safekeeping and control of data added to the project. An expanded search mechanism enables the rapid retrieval of documents by details in the document and its position in the project structure. A dedicate mechanism in the WorkPlane system enables the addition of metadata (dynamic data fields), by the project manager, to any document, without the need for additional development or complicated settings.

Information Sharing
User Authorizations

Each project member is given authorization for personal access to those directories relevant for his work. The various levels of authorization ensure that the user can only carry out what is required of him in the project: Viewing of data only, or the addition and updating of records in the system. A log of the details of the person generating the record and the names of those updating the record are kept in the system.

Infrastructure & Security

WorkPlane implements advanced technologies and infrastructure that ensure a high level of availability and service. The system is operated from a modern server farm that enables continuous backup and rapid response times to any problem or system failure. The system is protected by a firewall and an intrusion detection system and incorporates an SSL technology encryption system for purposes of operation time data security at remote sites.
